Privacy Policy

1. Who we are

Utkal Visual Art Foundation Trust ("we", "us", "our") is a trust based in Bhubaneswar, Odisha, dedicated to promoting visual art and culture through exhibitions, art camps, workshops, classes and events. This policy applies to our website, utkalvisualart.com, and to the services offered through it.

By using the website or submitting your details to us, you agree to the practices described here.

2. Information we collect

We collect only what we need to run our programmes and respond to you:

• Class enrolment and enquiry forms: name, mobile number, email address, learner's age, city, chosen class, preferred batch, experience level and any message you write.
• Event registrations: name, contact details and the event you wish to attend.
• Shop and orders (if you purchase): name, delivery address, phone, email and order details. Payments are handled by the payment provider, and we do not store your card or bank details.
• Volunteer and contact requests: the details you submit when you write to us.
• Technical data: IP address, browser type, device, pages visited and approximate location, collected automatically through cookies and server logs.

3. How we use it

• To process class enrolments, confirm batches and share timings and fees.
• To manage event registrations, workshops and volunteer applications.
• To fulfil shop orders and provide customer support.
• To send updates about classes, exhibitions and events, where you have asked for them or where they relate to something you signed up for.
• To maintain and improve the website, and to keep it secure.
• To meet legal, accounting and regulatory obligations applicable to a charitable trust.

We do not sell your personal information.

4. WhatsApp and third parties

Our class enrolment form prepares your details as a WhatsApp message addressed to us. When you send it, the message is handled by WhatsApp under its own terms and privacy policy. Nothing is sent until you choose to send it.

We may share information with service providers who help us operate, such as website hosting, email delivery, payment gateways and delivery partners, and only as far as needed for them to perform their service. We may also disclose information when required by law or to protect our rights and the safety of others.

5. Cookies

The website uses cookies and similar technologies to remember your basket, keep the site working and understand how visitors use it. You can block or delete cookies in your browser settings, though parts of the site, such as the shop basket, may then stop working properly.

6. Children

Many of our classes are for children. Enrolment details for a learner under 18 should be submitted by a parent or legal guardian, and by submitting them you confirm that you have that authority. We use a child's information only to run the class and communicate with the family, and we do not use it for advertising or behavioural tracking.

7. Retention and security

We keep personal information only for as long as needed for the purposes above, or as the law requires, and then delete or anonymise it. We use reasonable technical and organisational measures to protect your information, but no online transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your rights

In line with applicable Indian law, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023, you may ask us to:

• tell you what personal information we hold about you;
• correct or update information that is inaccurate;
• delete your information, subject to any legal duty to retain it;
• withdraw your consent to further use, including marketing messages.

To make a request, contact us using the details below. We may need to verify your identity first.

9. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top shows when it was last revised, and continued use of the website after a change means you accept the updated policy.
